IEEE EDUCON 2026 invites organisers to submit proposals (1–2 pages) for Special Sessions via the online submission system. Proposals should clearly explain why the proposed session warrants a distinct focus separate from the regular program and must address cutting-edge, contemporary, or emerging areas relevant to the engineering education community. Submissions that are too brief may be automatically rejected.

Conference Theme: "Human-centered Engineering Education: Empowering Sustainable Innovation and Ethical Leadership through AI and Digital Transformation"

Proposal Submissions must use the provided EDUCON 2025 Special Session Proposal Template and organisers should plan to closely follow all instructions and guidelines outlined below. 

Proposal Guidelines (Maximum 1–2 pages)

Each proposal will be required to submit two files:

  • .zip file containing all Special Session Chair Headshots (chairs only)
  • Proposal PDF following provided template (required)

The Proposal PDF should summarize the scope of the session in no more than 1-2 pages that includes:

  • Overview: Provide a summary of the session scope (300–500 words), including its significance, relevance, and potential impact on the community.
  • Requirements: Provide Page Limit and any other relevant requirements for submissions to your session.
  • Topics of Interest: The session should highlight recent developments, facilitate the exchange of ideas, and promote discussion on open research questions and future directions. Original contributions involving novel applications, case studies, and practical experiences are encouraged. Example topics may include, but are not limited to:
    • Topic 1
    • Topic 2
  • Session Chairs: Include names, affiliations, and email addresses of proposed chairs.
    • Name, Institution, Email
    • Name, Institution, Email
  • Program Committee: List members, along with their affiliations and email addresses.

The Special Session Chair Photos .zip file should contain high-resolution photos for each Special Session Chair in .jpg or .png format. Each file should be named for identification. 

The deadline clock shown above reflects EST. While our submission system follows Anywhere on Earth as the time zone, we strongly recommend you plan appropriately to submit your paper by 11:59 PM in your home time zone to avoid possibly missing the deadline.

REGISTERING YOUR PROPOSAL

All proposals must be submitted via EDAS. If you do not have an EDAS account, please go to "Create Author Account" instructions below. 

To initiate your proposal, please visit the IEEE EDUCON 2026 Submission Site and follow these steps:

  • Select the appropriate track for your submission (Special Session Proposal). 
  • Type in the title of your proposed session.
  • In the Abstract field, Type a brief description of your proposed session, as you would like for it to appear on the Conference Website. 
  • Click "Register Paper". On the next page you will see a large green check mark and a statement that the paper was recorded.

SUBMISSION OF PROPOSAL FILES

  • After registering your paper, you should see your submission page which includes all of your details and links to upload your proposal files.
  • Before uploading your proposal files, you should add all Special Session Chairs and Special Session Committee Members as authors using their email address or EDAS ID by clicking the small plus sign under the author names.
  • On your submission page, upload your Special Session Chair Photo .zip folder with all organizer headshots, followed by your Proposal PDF using the cloud-shaped upload buttons.
  • You can easily navigate back to your submission page at any time by clicking My... > My Papers at the top of the screen, then clicking your selected paper title. 

CREATE AUTHOR ACCOUNT

Each proposer must visit the EDAS web site and establish an account with a username and password.

  • Visit www.edas.info and click the New User button.
  • Create your profile. Only the five fields with the red asterisk are required. *It is very important that your name and affiliation associated with your EDAS account are correct and match the name and affiliation that will be listed on your paper. These fields are first & last name, affiliation (company or organization), country, e-mail address, and status. When the fields are filled in, check the Privacy Policies box and click the Add Person button. [note: if you select USA as the country, you will get a message asking for your state]
  • You will receive an e-mail containing your password. Your email address and the given password must later be used to access the system during the following steps, so be careful to remember it.
  • You can then return to the EDAS log-in page (www.edas.info) and change your assigned password to one that is easier to remember. To do this, click on the My Profile tab, and then click on change your password. Be sure to record your user name, password and ID number for later reference.

IMPORTANT NOTES FOR SPECIAL SESSION ORGANIZERS

  • Chairs are responsible for ensuring all papers submitted to their session receive 3 completed reviews by December 5, 2025. Paper Accept/Reject Decisions must be made in EDAS prior to the notification date of December 12, 2025.
  • Chairs are responsible for verifying that submissions are not resubmissions of previously rejected papers from the main technical track unless significantly improved.
  • To ensure the integrity of the Special Session Paper Review process, if chairs or committee members of a session submit a paper to their own session, these papers will be subject to external reviews. Please contact Special Session Chair Usman Naeem if you plan to submit to your own session so that we can plan alternative reviewers as needed.
  • At least (1) member from each Special Session’s committee must register and attend the conference in person to facilitate your Special Session.
